Guidelines for Using Steele 3020 Conference Room
The Steele 3020 Conference Room is managed by Undergraduate Education administration with a meeting capacity of 25 people/23 comfortably. Questions can be directed to Jennifer Young. Usage is prioritized for Steele Building occupants and the Emergency Management Safety Team. As circumstances permit, the room is also available for other University-sponsored scholarly, administrative, and professional events.
Undergraduate Education does not provide event staff.
All groups that use the Steele 3020 conference room are responsible for room setup and for cleanup.
Guidelines
- Undergraduate Education events will be given priority.
- Steele 3020 is not available as a classroom.
- Bookings from organizations and groups lacking University sponsorship or affiliation are not accepted.
- All meetings or events should end no later than 4:30 pm.
- Setup and cleanup time should be included in the actual reservation time.
- Undergraduate Education reserves the right to evaluate the requested use to ensure that it meets the stated policy and guidelines.
Use Policies and Procedures
- Return room to acceptable configurations (shown below).
- Remove all food and beverage items generated by event. Recycling bins are located near the elevator.
- Do not leave dishes or items in the sink. Wash and return anything used.
- Clear all tables.
- Shut down all electronics before leaving.
Food and Drinks
Food and drinks are permitted and must be noted during the room registration process. Alcohol is not permitted.
Fees
Undergraduate Education provides the room free of charge. We depend on your efforts to keep the room clean and return it to its standard arrangement to maintain this no-cost approach.
Accessing Presentation Equipment
- Turn on computer (mounted – left side of TV).
- Turn on TV with Samsung remote.
- Confirm source is HDMI – 2.
- Turn on keyboard and mouse.
- Login using your ONYEN and password. Please note that if it is your first time logging in, you will need to download Zoom or any other software tied to your ONYEN.
- Zoom Camera: Use the small, square Logi remote and select between 1 and 2 for preferred camera setting.
- When finished, please delete any presentations or documents saved on the C: drive.
- Log out/shut down computer (left side behind TV). Shut down is essential for the system to reset for the next user.
- Turn off mouse, keyboard and TV.
Note: If you use your laptop during the meeting, you will not be able to activate the camera or microphone. Only the computer attached to the TV will activate this equipment.

Scheduling
Steele 3020 Conference Room is available for reservations Monday through Friday, 8:30 a.m. to 4:30 p.m. Evening and weekend reservations are not available. University academic and administrative units may schedule up to 90 days in advance. Please complete this form to request a reservation. Your request will be reviewed and confirmed within 2 business days.
